The Office Manager oversees all day-to-day office operations for
Human Resources, tracking high-level projects for each departmental
workgroup, representing the department to all external and internal
constituents, and providing superior customer service. This
position supervises the Administrative Services Coordinator and
student employees, and provides extensive administrative support to
Human Resources staff. Additionally, this position oversees
personnel file management, Human Resources webpages, creation and
distribution of University ID cards, a number of annual internal
audits, departmental operating budgets, supply inventories and
storage locations, and logistical support for major events.
Duties
Provide front-line customer service for phone calls, e-mails, and
walk-ins. Serve as a University ambassador by providing consistent
and excellent customer service.
Hire, train, and supervise the Administrative Services Coordinator,
and oversee lobby reception areas.
Hire, train, schedule, and supervise student workers; assign tasks
and coordinate reception coverage.
Oversee the creation and maintenance of personnel files; manage
off-site storage through Iron Mountain; oversee accurate scanning
of files through Etrieve and other electronic systems.
Oversee the maintenance and accuracy of the University's online
directory, HR master calendar, HR website, and assist with
conference room reservations.
Provide backup assistance for digital and print communications.
Create University ID cards; manage of issuance of parking
access.
Assist with the execution of various HR events (such as New
Employee Orientation and Pepperdine Honors).
Oversee a number of annual internal audits, and create summary
reports for senior administration.
Oversee general office maintenance and ensure office supplies are
appropriately stocked and organized; request departmental goods and
services; maintain inventory lists and the storage areas.
Assist HR staff with administrative support, such as payments and
requisitions, special projects and initiatives, and events as
needed. Provide workgroups with regular budget updates and ensure
purchases are reallocated correctly and timely.
Coordinate, plan, and facilitate monthly HR staff meetings; arrange
meeting spaces, equipment set-up, and refreshments.
Perform other duties as assigned.

Skills and Qualifications
Required: Bachelor's Degree; Two years of general office
experience; Superior interpersonal and customer service skills;
Strong written and verbal communication skills; Ability to lift and
carry objects of moderate weight (i.e. to do AV and event set-ups);
Ability to handle confidential and sensitive issues; Attention to
detail and ability to work independently; Strong technical
competency, including proficiency in Microsoft Office and Google
Workspace.
Preferred: Experience in a not-for-profit and/or higher education
setting; Human Resources experience; 1+ year of supervisory
experience, Experience with PeopleSoft HCM, Etrieve, LMS or
training systems.
